Overview

Metal keys cost hotels money in ways that never appear on an invoice: keys walk out in guests' pockets, locks are rekeyed, and nobody can prove who opened a room after a guest reports a theft. An RFID lock replaces the key with a card that expires at checkout and records every door opening.

What the system includes

  • Front-desk encoder that writes a card for a specific room and stay period
  • Management software for issuing, cancelling and auditing cards
  • Handheld audit reader that downloads the last several hundred openings from any lock
  • Master card hierarchy: housekeeping, floor supervisor, maintenance, manager and emergency
  • Energy-saving switch inside the room, so power is live only while a valid card is inserted
  • Optional: lift access control, car park barrier release and common-door readers on the same card

Because every card is written for a stay, a lost card is cancelled by issuing a new one — the lock does not need to be changed.

Installation

  1. Survey — door thickness, material, existing lock preparation and backset measured room by room.
  2. Lock selection — model and finish chosen to fit existing doors wherever possible, avoiding replacement.
  3. Installation — locks fitted and aligned; typically a large property is done floor by floor so rooms stay sellable.
  4. System setup — room numbering, card hierarchy, staff accounts and audit settings configured.
  5. Training — front desk trained on issuing and cancelling cards, housekeeping on their cards, management on audit reports.

FAQ

Common questions

Can we see who entered a room?

Yes. Each lock stores its recent openings with card identity and timestamp, downloaded with a handheld reader. This is usually decisive when a guest reports a missing item.

What if a guest loses their card?

The front desk issues a replacement, which automatically invalidates the previous one. No lock change and no locksmith.

Can the same card open the car park barrier?

Yes, with a reader on the barrier — see automatic road barriers.
